INVENTORY SPECIALIST (Accounting Tasks Required)

Position Summary

The Inventory Specialist is responsible for the accurate receipt, storage, issuance, and tracking of inventory while supporting basic accounting and inventory control functions. This role combines hands-on warehouse work with inventory reconciliation, documentation, and data accuracy to ensure materials are available, properly accounted for, and aligned with financial records.

This position is ideal for someone with warehouse experience who also understands inventory accounting, purchase orders, and basic financial controls.

Job Responsibilities:

Warehouse & Inventory Operations

  • Receive, inspect, and stock incoming materials and equipment
  • Pick, stage, and issue materials for jobs, service calls, or internal requests
  • Maintain organized, clean, and safe warehouse and storage areas
  • Perform regular cycle counts and assist with physical inventory counts
  • Identify damaged, obsolete, or excess inventory and report discrepancies
  • Coordinate returns, transfers, and restocking of materials
Inventory & Accounting Support
  • Match packing slips to purchase orders and receiving documentation
  • Enter inventory receipts, issues, and adjustments into the ERP or inventory system
  • Assist with inventory reconciliations between physical counts and system records
  • Support month-end inventory close activities as needed
  • Track inventory usage by job, department, or cost code
  • Help ensure inventory transactions follow internal controls and procedures
Collaboration & Process Improvement
  • Work closely with Purchasing, Accounting, and Field Operations
  • Communicate shortages, backorders, and inventory issues proactively
  • Assist in improving inventory accuracy, labeling, and tracking processes
  • Support audits and internal reviews related to inventory and materials

  1. Ensure timely and complete submittal of JSAs, Toolbox Talks, Audit Forms, etc. as it applies to the warehouse
  2. Hold yourself accountable for all Safety Initiatives
  3. Hold yourself accountable for Safe Driving of Company Vehicles
  4. Ensure awareness and support of Stop Work Authority
  • Complete all Training Requirements - Safety, Certifications, etc.
  • Submit accurate Timesheet - job numbers/names, OT and travel pay, completed on time, etc., support transition to Electronic timesheet submittal
  • Ensure all required documents are complete, accurate and professional, with required signatures
  • Ensure proper Inventory Management - review, update, and approve packing slips - submitted timely, proper material management
  • Timely processing of returns; Keep jobsites clean and organized
  • Support and ensure adherence to company SOPs
  • Communicate effectively and professionally within the department and with internal and external customers
  • Teamwork - maintain positive interactions within your team, local office, etc.
  • Actively participate in required team meetings
Knowledge:
  • 1-3 years of warehouse, inventory, or materials management experience
  • Basic understanding of inventory accounting concepts (receipts, issues, adjustments)
  • Experience working with purchase orders and packing slips
  • Comfortable using inventory systems, ERPs, or spreadsheets
  • Strong attention to detail and accuracy
  • Ability to lift, move, and handle materials safely
  • Understand and follow basic Safety procedures
  • Minimum education of an Associate's or a certificate in Logistics or Accounting-related field
  • Forklift Certified preferred
Work Experience:
  • Inventory or shipping and receiving experience
  • Warehouse coordinating experience
Skills and Competencies:
  • Basic to Intermediate computer skills required (MS Office Software)
  • Inventory Management software experience
  • Good communication skills; both verbal and written
  • Sense of pride, integrity, and organizational ability
  • Must enjoy working independently and outdoors
Physical Requirements:
  • Standing and walking for most of the shift
  • Working in heights to organize high shelving
  • Lifting up to 50lbs
  • Use of warehouse machinery on a daily basis
  • Able to bend, reach, and kneel with ease
