The Opportunity

We're seeking a Supply Chain Specialist to manage day-to-day logistics and procurement operations from our Round Rock facility. This dual-function role ensures efficient movement of parts, machines, canisters, and carbon filters across the United States and between the U.S. and Canada, while also supporting our global purchasing function with vendor management, purchase order processing, and supply chain coordination.

This isn't a traditional operations role. You'll work alongside ATLAS Nexus, our proprietary AI-powered management system, leveraging automated workflows and intelligent systems to drive operational excellence across both logistics and procurement. What You'll Do

Logistics & Shipping

  • Coordinate outbound shipments of parts, machines, canisters, and carbon filters within the U.S. and cross-border to/from Canada
  • Prepare shipping documentation including commercial invoices, packing lists, and export/import compliance forms
  • Track all shipments and proactively communicate tracking information and status updates to customers
  • Serve as the primary point of contact for carriers and freight forwarders (FedEx, R+L, DSV, and others)
  • Ensure all shipments comply with proper handling, hazmat, and regulatory guidelines
  • Negotiate shipping rates and optimise carrier selection for cost efficiency

Purchasing & Procurement

  • Process purchase orders and requisitions in coordination with the Global Purchasing team
  • Source and evaluate suppliers for parts, materials, and services; obtain and compare quotations
  • Maintain vendor relationships and serve as a key point of contact for supplier communications
  • Track purchase order status, expedite deliveries, and resolve supplier issues
  • Support supplier performance monitoring, including delivery reliability, quality, and pricing
  • Assist with contract administration and maintain accurate supplier documentation
  • Identify cost-saving opportunities and support supplier negotiations

Import/Export Compliance

  • Maintain working knowledge of U.S. and Canadian import/export regulations
  • Ensure accurate application of HS codes, Incoterms, EEI/NOEEI exemptions, and customs documentation
  • Maintain comprehensive records in Monday.com for audit and operational tracking purposes

Inventory & Production Coordination

  • Collaborate with the production team on planning, scheduling, and priority management
  • Support inventory control by coordinating incoming shipments and ensuring proper receipt of goods
  • Monitor stock levels and initiate replenishment orders to prevent production delays
  • Order supplies for the chemistry lab and maintain appropriate stock levels
  • Partner with engineering and inventory teams to ensure smooth operational workflow
  • Reconcile goods received against purchase orders and resolve discrepancies

Customer Communication & Continuous Improvement

  • Provide regular updates to customers regarding order status, lead times, and shipping schedules
  • Deliver high-quality customer service and resolve delivery-related issues promptly
  • Identify and implement process improvements across logistics and purchasing functions
  • Maintain organised, accurate logistics and procurement records

What We're Looking For

Required Experience

  • Proven experience in logistics, supply chain, purchasing, or procurement coordination
  • Strong understanding of domestic and international shipping processes, including U.S./Canada import/export regulations
  • Experience with purchase order processing, vendor management, and supplier evaluation
  • Experience working with carriers, freight forwarders, and shipping systems

Technical Skills

  • IT proficiency is essential—you'll be working with multiple software platforms daily
  • Experience with automated workflows and ERP/workflow management tools (Monday.com experience is a plus)
  • Familiarity with procurement systems and purchase order management
  • Comfort with AI-powered systems and willingness to embrace emerging technologies
  • Understanding of how AI and automation can enhance supply chain operations

Benefits & Compensation

  • Salary: $75,000 – $95,000, commensurate with experience
