Guest Services and Stadium Events Coordinator

Description:

This crucial role is responsible for the planning, scheduling, coordination, and execution of all stadium events, including baseball games, non-baseball events, and community functions. This role serves as the central point of coordination for event setup, staffing, guest services, and interdepartmental communication to ensure safe, efficient, and high-quality event experiences for all guests, partners, and stakeholders.

Event Management & Scheduling

  • Coordinate and manage staffing and details for stadium events, including game days, non-game events, private rentals, community events, and special activations
  • Conduct event/baseball game planning meetings and pre-event walkthroughs with stakeholders
Event Setup & Operations
  • Assist with event setup, breakdown, and changeovers, including seating configurations, staging, signage, field protection, and equipment placement
  • Ensure all events comply with stadium policies, safety protocols, and insurance requirements
  • Monitor events in real time to troubleshoot operational issues and respond to guest or client needs
  • Assist as one of many on the stadium ops team with facility related projects and needs
Guest Services Management
  • Coordinate. Train, hire and manage guest services staffing for events, including parking, ushers, ticket takers, supervisors, and guest experience ambassadors
  • Support training and communication for guest services staff related to event-specific procedures
  • Address guest concerns and resolve service issues professionally and promptly during events
  • Partner with ticketing, premium seating, and sponsorship teams to support VIP and premium guest experiences
Administrative & Compliance Responsibilities
  • Maintain accurate event documentation, schedules, staffing plans, and cost tracking
  • Support safety planning, emergency preparedness, and incident reporting
  • Ensure adherence to local regulations, fire codes, occupancy limits, and stadium policies
Required Skills and Experience
  • Candidate must have specific experience working in MILB or an event related venue.
  • Candidate must have excellent experience in creating and managing schedules for employees and staffing.
  • Candidate must have experience working in stadium operations as it relates to event set up and staff training.
  • Candidate must have a college degree or experience in lieu.
