Job Summary
IES Residential, Inc. is seeking a reliable, detail-oriented Administrative Assistant to support our Pflugerville, Texas office. This role is responsible for scheduling coordination, administrative support, andassisting with billing and subcontractor processes to help keep operations running smoothly.
Experience is preferred but not required-we are willing to train the right candidate.
Key Responsibilities
Scheduling & Coordination
- Manage calendars, appointments, and project schedules
- Communicate schedule updates with team members and external partners
- Ensure schedules align with project timelines
Administrative Support - Perform accurate data entry and maintain electronic records
- Assist with subcontractor invoice processing and sub-pay tracking
- Support billing processes and documentation
- Create and update reports, spreadsheets, and documents (Word, Excel)
- Prepare internal communications and status reports
Office Support - Track incoming/outgoing documents, mail, and packages
- Maintain office supplies and coordinate with vendors
- Assist with meetings and internal event coordination

Specific Qualifications
Qualifications - Proficiency in Microsoft Office (Word, Excel, Outlook)
- Strong attention to detail and organizational skills
- Excellent communication skills (written and verbal)
- Ability to multitask and meet deadlines in a fast-paced environment
- Reliable and dependable
- Scheduling or administrative experience preferred (not required)
- Microsoft Dynamics experience is a plus
- Bilingual (English/Spanish) is a plus
- Must be able to read, write, and speak English
Physical Requirements - Prolonged sitting and computer use
- Frequent typing and handling paperwork
- Ability to occasionally lift up to 20 lbs
- Ability to move around the office as needed
Work Environment - Office setting
- Fast-paced with frequent multitasking
- Regular interaction with team members, subcontractors, and vendors
Pay & Schedule - Pay: $17.00 - $19.00 per hour (based on experience)
- Schedule: Full-time, Monday-Friday
